SMALL TO MID-SIZE MULTI-FAMILY

Mid-size apartment communities require specialized budgeting and maintenance schedules to help you maximize profits. Because these complexes are generally not large enough for on-site, we instead utilize territory managers to ensure the needs of our mid-size communities are met. Some of the services we offer to our mid-size community owners are below.

RISK ASSESSMENT

  • Emergency and fire safety planning procedures

  • Community safety procedures

  • Common area maintenance and inspections

  • Regular unit inspections

  • Capital improvement and maintenance budget projections

FIND NEW TENANTS

  • Advertise and show vacant units to prospective tenants

  • Hold open houses

  • Recommend move-in specials, with owner approval.  

  • Conduct comprehensive and legally compliant tenant screening

MOVE-IN

  • Draft lease and addendums

  • For all Section 8, CAPECO and AHG tenants, complete the necessary additional leasing paperwork

  • Meet with tenant to review lease terms and expectations

  • Perform detailed move-in inspection with tenant, including pictures

  • Collect all move-in deposits

EXCELLENT TENANT CUSTOMER SERVICE

  • Respond to all tenant inquiries and maintenance request

  • Provide tenants with first-class customer service

  • Same person (owner or territory manager), multiple ways for tenants to contact (phone, text, email, website portal)

RENT COLLECTION

  • Collect Rent

  • Apply and enforce late fees, when necessary

  • Send out late payment notices

  • Send nonpayment of rent/eviction notices, when required

INSPECTIONS

  • Conduct regular inspections

  • Evaluate property for safety hazards, lease violations and maintenance concerns

  • Work with owner to create maintenance and capital improvement schedule

  • Send owner periodic reports on the condition of the property

ACCOUNTING

  • Provide complete, accountant-ready reports showing all income and expenses on property

  • Pay all property expenses on behalf of owner

  • Provide owner with access to owner portal which allows owner to run a multitude of financial reports.

  • Develop anticipated maintenance and capital improvement budgets

MAINTENANCE AND REPAIRS

  • Oversee all vendor repairs and, where appropriate, oversee in-house maintenance to perform repairs

  • Maintain 24-hour emergency repair hot-line

  • Develop preventative maintenance schedule

  • Respond to all tenant maintenance requests in a timely manner

  • Oversee large remodel and repair projects

  • Maintain common areas with landscaping, trash removal, leaf and snow removal, coordinate fire extinguisher certification, ensure proper lighting, and monitor other maintenance and safety concerns.

TURNOVERS

  • Conduct move-out inspection with tenant

  • Provide security deposit accounting to tenant, in compliance with Oregon law, and return balance remaining, if any

  • Ensure unit is cleaned, carpets are cleaned, and repairs or upgrades are made

  • Re-key all locks

  • Document condition of property on move-out

EVICTIONS

  • Use in-house counsel to file all FED actions

  • Provide advice and direction on the eviction process and potential alternatives, if any

TERRITORY MANAGERS

  • Assign Territory Managers to respond to all tenant and property needs

  • Train and supervise all Territory Managers to ensure tenant needs are met and property is meeting Breakwater management standards
